Overview

The Executive Assistant is responsible for providing administrative support for the President and CEO, including: meeting and travel planning, preparation of complex documents/presentations and reports.

 

Responsibilities

The Executive Assistant shall be responsible for, but not limited to, the following:

  • Daily reviews with the President to schedule and develop agendas
  • Prepares confidential reports for the President including Board of Director meeting materials, and day to day correspondence
  • Manages the President’s calendar; organizing agendas and materials necessary for internal and external meetings. This can include organizing, tracking, and attending offsite meetings and functions.
  • Prepares presentations and reports including charts and graphs, utilizing Microsoft Office Word, Excel and PowerPoint
  • Makes travel arrangements and prepares expense reports. This includes scheduling, coordinating and planning of complex international or domestic travel including visa requirements, currency exchanges, security and air/land transportation. 
  • Manages the Request For Quote (RFQ) process for subcontractors, various office supply vendors and the company travel program
  • Manages the daily operations for the efficient operation of the Blue Bell office, including office moves, offsite storage, coordinating with building management, ordering supplies, and managing the building lease invoicing and control process.

 

Qualifications

  • Bachelor's degree preferred with a minimum of 5 years' experience as an executive assistant or equivalent role
  • Ability to communicate clearly and concisely, orally and in writing, with all levels of the organization
  • Thorough understanding of how to interact with other company executives both internal and external
  • Thorough understanding of airlines rules and bookings
  • Excellent presentation skills, and expertise with web-based communication (both design and technical aspects)
  • Proficiency in scheduling, coordinating and planning complex international travel including visa requirements, currency exchanges, security, air and land transportation
  • Demonstrated ability to successfully manage projects in a deadline-oriented environment
  • Solid organizational and analytical skills, as well as attention to detail
  • Ability to maintain appropriate level of confidentiality
  • Ability to build relationships and work effectively with all levels of management
  • Advanced proficiency in Microsoft Word, Excel, Outlook, and PowerPoint required
  • Proficiency in SAP is a plus
  • Knowledge of the procurement process and invoicing
  • Ability to be part of the office safety council is a plus
  • Ability to be an internal auditor is a plus
  • Ability to be part of the employee activity committee is a plus
