    This position is comprised of project document control and administrative tasks for inspection coordination between QA/QC Services, Suppliers, and External Inspection Agencies.



    The Document Control Inspection Coordinator will be responsible for, but not limited to, the following:


    • Organize and maintain documents, adhering to the company's document lifecycle procedures, and archive inactive records in accordance with the records retention schedule.
    • Coordinate with key internal functional groups to communicate critical project documentation.
    • Create, review and revise document control procedures according to standard operating procedures.
    • Set up and resolve File Transfer Protocol (FTP) and Vendor Interface Platform (VIP) client software interface issues.
    • Assist employees with Documentum (GDMS) related issues.
    • Prepare and run documentation and vendor reports for Project Management and other departments as required.
    • Perform Quality Checks on Engineering and Supplier deliverables (Doc number, title, revision, date etc.) and comply with Project requirements.
    • Validate Contractor provided deliverables and associated Document Delivery Schedule (DDS) metadata to support data transfer to Company Electronic Data Management System (EDMS).
    • Ensures employees adhere to record retention policies and safeguard information.
    • Train employees on records management policies and procedures, which include documentation, retention, retrieval, destruction and disaster recovery.
    • Assist with file migrations, audits, and perform administrative tasks as needed.
    • Ensure Electronic Review Cycles are properly reviewed and approved.
    • Return certified vendor drawing to vendor with mark-ups.
    • Assembly of both paper and electronic Equipment Data Books and ensure they comply with Client contract requirements.
    • Tracks Purchase Orders and related documentation supplied between LENA and Supplier Document Control using SAP and Documentum, and inputs the information into the Project Inspection Test Plan.
    • Initiate, coordinate, and schedule external inspection agencies visits to Suppliers as defined by the ITP and project criticality needs.
    • Communicate Inspection Reports to Linde Engineering disciplines and inputs the punch list items into the Technical Corrective Measures List.
    • Maintain the Technical Corrective Measures List and verifies close out of the action items with Suppliers, Inspectors, and engineering disciplines accordingly.
    • Learn and abide by the Linde Code of Ethics and Code of Conduct. Demonstrate honesty, integrity, and professionalism in all communications, actions and decisions.


    • Must have 3 years’ experience with Oil & Gas Company including providing technical support, and working experience with IT systems and tools.
    • 4 years’ experience as Document Management Coordinator or similar experience.
    • Effective computer skills; Microsoft Office Software, Lotus Notes, and other Company and discipline specific software applications, such as Documentum, VIP, Bentley, and AutoCAD.
    • Accurately sequence numerically and alphabetically.
    • Operate office equipment; i.e., fax scanner, printer, and copier.
    • Effective communication skills both verbally and in writing with superiors, colleagues, and individuals inside and outside the Company.
    • Effective analytical and problem-solving skills.
    • Proficiency in Document Control IT tools, databases, and administrative procedures.
    • Advanced knowledge and understanding of discipline work flows and deliverables produced to execute project.
    • Knowledge and experience in Electronic Document Management Systems (EDMS).
