  • Overview

    Responsible for administrative assistance to the Proposal Management and Estimating teams.


    • Prepare correspondence, proposals, presentations, and reports as required.
    • Maintaining physical and electronic files; cost books, estimating proposals, budgetary proposals, and other miscellaneous documentation.
    • Manage documentation of RFQ’s, quotes, vendor correspondence.
    • Maintain proposal schedules and status of deliverables.
    • Lead new employee onboarding for the department; i.e., order business cards, training on basic procedures, and general office set up.
    • Provide phone coverage for Proposal Development personnel.
    • Prepare expense reports
    • Assure document delivery to the Client by required dates.
    • Make travel arrangements for Proposal Development personnel.
    • Maintain office supply inventory for Proposal Development operations.
    • Preparation of meetings including conference room setup and cleanup.
    • Coordinate and schedule departmental meetings and events.
    • Provide back up for Business Unit Administrative Assistant(s).


    • High School Diploma or equivalent certificate.
    • Minimum 2 years administrative office support experience.
    • Engineering industry experience preferred.
    • Effective (intermediate or advanced) computer skills; Microsoft Office Software, Lotus Notes, and other Company specific software applications.
    • Able to communicate effectively, both verbally and in writing, with internal and external Clients.
    • Effective time management and problem solving skills
    • Proficient in both the English and Spanish languages, preferred.
